HubSpot contact sync

Bring HubSpot contact details into your Inbox workspace and send Inbox contact updates to HubSpot when you enable outbound sync. Choose the fields and direction, then check each sync result.

This app is not yet listed on HubSpot Marketplace. Connect from PostReply Inbox using the steps below.

Check your accounts and plan

Use a PostReply Inbox workspace and a HubSpot account with permission to install apps and access Contacts. Sign in to Inbox or create an Inbox account, then select the workspace you want to connect. The Inbox account and subscription are separate from PostReply Social. Your Inbox plan must allow HubSpot and have an available integration connection.

Connect and configure

In Inbox, open Settings → Integrations, find HubSpot, and select Connect. Select Proceed & Authorize, choose the intended HubSpot account, and review the requested contact read and write access before approving. You will return to Inbox after authorization. You do not need to enter a HubSpot client secret.

Open Inbox integration settings

  • Complete authorization in the same signed-in browser and Inbox workspace where you started. To use a different HubSpot account, successfully disconnect the current connection first, then connect again. If an older connection has not been verified, disconnect and reconnect it before syncing.
  • Open Map & Sync for the connected HubSpot account.
  • Check the contact field mappings and select a sync direction.
  • Choose Merge data or Keep duplicates for imports, then save the configuration.
  • Run Force Sync Now and inspect the contact results and logs.

Map contact fields

The default mappings cover contact identity and lifecycle stage. Use HubSpot property API names and check accepted lifecycle-stage values before enabling outbound sync. A field mapping selects a property; it does not translate its values.

  • First name → firstname
  • Last name → lastname
  • Email → email
  • Phone → phone
  • Lifecycle stage → lifecyclestage

Choose a direction and run a sync

New HubSpot connections start with imports into Inbox. Choose outbound or both directions only when you intend to write contacts to HubSpot. Force Sync Now saves the selected mappings and direction before processing the contacts in that direction. With outbound sync enabled, new or updated Inbox contacts are queued for HubSpot. HubSpot imports are started manually and continue through the available contact pages.

  • Inbox → HubSpot: send Inbox contacts to HubSpot.
  • HubSpot → Inbox: import HubSpot contacts into this workspace.
  • Both directions: import from HubSpot and send Inbox contacts to HubSpot.
  • Merge data first matches the HubSpot record ID, then email or phone, and fills empty Inbox fields. Keep duplicates can create another contact.
  • Contacts → Import → HubSpot only imports into Inbox, regardless of the saved sync direction.

Check results, disconnect, and uninstall

In Map & Sync, inspect recent logs for each contact, direction, external record ID, status, and error. Correct permissions or field errors before retrying. Disconnect in Inbox Settings → Integrations revokes the authorization before removing the local connection; if revocation fails, the connection remains so you can retry. Contact records already saved in either product remain. To remove the app from HubSpot, open HubSpot Settings → Integrations → Connected Apps, select Actions → Uninstall for PostReply Inbox, type uninstall, and confirm.

Contact data and privacy

The integration exchanges mapped contact fields and uses HubSpot account details to identify the connection. Inbox stores authorized connection credentials for the selected workspace. HubSpot authorization includes contact read and write permissions; the saved sync direction determines whether Inbox sends contact writes. Review the fields, account, and permissions before connecting.

Frequently asked questions

Does this sync conversations, deals, or support tickets?

This integration syncs Contacts and mapped contact fields only. It does not sync message conversations, sales deals, or support tickets.

Are HubSpot changes imported in real time?

No. Start an import manually from Map & Sync or Contacts → Import → HubSpot. Inbox contact creation and updates are queued for outbound sync only when the saved direction allows sending to HubSpot.

Why does authorization request write access when I only want to import?

The integration supports optional outbound contact sync as well as imports, so authorization requests contact read and write access. Keep the direction set to HubSpot → Inbox if you only want to import. Contacts → Import → HubSpot never starts outbound sync.

Where can I get help?

Contact support@getpostreply.com with the selected direction and the error shown in your sync logs. Do not send passwords, access tokens, or private contact details.
