Zoom Integration Guide and Support

Connect your Zoom account to PostReply Inbox to create Zoom meeting links for customer appointments.

Before you connect

You need a Zoom account, an active PostReply Inbox workspace, and a workspace plan that includes the Zoom integration. Your Zoom administrator may need to approve third-party apps for your account.

Add Zoom to your workspace

  1. Sign in to PostReply Inbox and open Settings > Integrations.
  2. Find Zoom and choose the connect action. Review the connection notice and continue.
  3. Sign in to the Zoom account you want to use. Review the requested permissions and authorize PostReply Inbox.
  4. After returning to Inbox, check that Zoom shows as connected and displays the intended account email.

Create appointment meeting links

  1. Open Calendar Booking and its scheduling links section.
  2. Create or edit a booking link, select Zoom as the meeting location, and save the booking link.
  3. When a customer books an appointment through that link, Inbox requests a scheduled meeting from the connected Zoom account and saves its join URL with the appointment.
  4. Open the appointment to use its meeting link. Zoom account limits and settings continue to apply.

Data and permissions

PostReply Inbox reads the authorized Zoom user's profile to identify the connected account and creates scheduled meetings for that user. It stores the connected account email, access and refresh tokens, token expiry, and appointment meeting links. Tokens are protected with application-level encryption in storage. This integration does not read recordings or manage other Zoom users.

Disconnect and remove

  1. In PostReply Inbox, open Settings > Integrations, find Zoom, choose disconnect, and confirm. This removes the stored Zoom connection tokens from that workspace.
  2. To also revoke the app's authorization in Zoom, sign in to Zoom App Marketplace, open My library (or Manage > Added Apps), find PostReply Inbox, and choose Remove.

Disconnecting does not delete previously created Zoom meetings or existing Inbox appointment records. Manage existing meetings in Zoom. For requests to access, correct, export, or delete your Inbox data, see our Privacy Policy.

Troubleshooting

  • If the integration is unavailable under your workspace plan, review your subscription or contact support.
  • If Zoom requires administrator approval, ask your Zoom account administrator to approve the app.
  • If authorization fails or the connected account has changed, return to Integrations and reconnect the intended Zoom account.
  • If an appointment has no meeting link, verify that its booking link uses Zoom and that Zoom is connected. Contact support with the appointment reference and approximate time; do not send passwords or tokens.
